The Heartland Metering Conference (“Conference”) is committed to protecting the privacy and personal information of all vendors and participants. This policy outlines how we collect, use, and safeguard your data in connection with your registration and participation.

1. Information We Collect

We collect the following types of information:

  • Contact Information: Name, company, email, phone number, and mailing address.
  • Payment Information (Vendors Only): Credit card details provided directly to the Old Town Hotel for billing purposes.
  • Participation Details: Booth preferences, dietary restrictions, and attendance confirmations.

2. Use of Information

Your information is used solely for the purposes of organizing and executing the Conference:

  • To manage registration and attendance.
  • To communicate updates and logistics.
  • To process vendor payments under the shared-cost model.

3. Vendor-Specific Terms

  • Shared-Cost Model: Total conference expenses are divided evenly among all registered vendors. Each vendor is billed their equal share after the event.
  • Payment Authorization: Vendors agree to provide credit card information directly to the Old Town Hotel, which will process payment post-event.
  • Shared Booths: Vendors sharing space remain individually responsible for their full portion of the final vendor fee.
  • Commitment to Attend: Registration constitutes a financial commitment. Cancellations or no-shows do not remove this obligation unless approved by event organizers.

4. Data Sharing

We do not sell or share your personal information with third parties, except:

  • With the Old Town Hotel for payment processing (vendors only).
  • As required by law or to protect the rights and safety of attendees.

5. Data Security

We implement reasonable safeguards to protect your information. Payment data is handled securely by the hotel and not stored by the Conference.

6. Your Rights

You may request access to, correction of, or deletion of your personal data by contacting the event organizers.
