Heartland Metering Conference – Terms and Conditions
Effective Date: October 21, 2025

By registering for and/or attending the Heartland Metering Conference (“Conference”), all vendors and participants agree to the following terms and conditions:

1. Registration & Attendance

  • Registration must be completed through the official Conference platform or via approved organizers.
  • Attendance is limited to registered individuals. Substitutions may be allowed with prior approval.
  • The Conference reserves the right to deny or revoke registration at its discretion.

2. Vendor Participation

  • Shared-Cost Model: All registered vendors agree to share equally in the total cost of the event, including venue, meals, materials, and logistics.
  • Payment Authorization: Vendors must provide credit card information directly to the Old Town Hotel, which will process payment after the event based on the final vendor count and total expenses.
  • Shared Booths: Vendors sharing space remain individually responsible for their full portion of the vendor fee.
  • Commitment to Attend: Vendor registration constitutes a financial commitment. Cancellations or no-shows do not remove this obligation unless approved by the event organizers.

3. Code of Conduct

  • All attendees must behave professionally and respectfully toward others.
  • Harassment, discrimination, or disruptive behavior will not be tolerated and may result in removal from the event without refund.

4. Liability

  • The Conference and its organizers are not responsible for personal injury, loss, or damage to property during the event.
  • Vendors are responsible for their own equipment, displays, and promotional materials.

5. Privacy

  • Personal information collected during registration will be used solely for event management purposes.
  • Vendor payment data is handled securely by the Old Town Hotel and not stored by the Conference.

6. Media & Photography

  • By attending, you consent to the use of photographs and video taken during the event for promotional purposes.

7. Changes & Cancellation

  • The Conference reserves the right to modify the agenda, venue, or schedule.
  • In the event of cancellation, registered vendors and participants will be notified promptly. Refunds will be handled on a case-by-case basis.
